Early Bird Registration will open on December 1, 2018

If you have an exhibit or presentation that is interactive, fun and environmentally informative, please complete a registration form and return it prior to January 15 for Early Bird Pricing.

This annual event typically attracts a crowd of several thousand area residents, children and community leaders. Please keep the basic premise of the environment in mind when planning your hand-outs and give-aways.

Exhibitors and non-food vendors are required to have an environmental activity or learning opportunity at their booth to encourage ways to “Take Action for a Healthy Planet.” Actions can include pledges to use reusable bags/bottles; conserving energy through household updates; writing postcards to elected official about environmental issues; etc. Participants will again have an Environmental Passport for stamping that will then be turned in for a prize drawing. We need donations of gift cards/organizational swag/gift baskets etc for the drawing–please let us know if you would like to contribute. You will be highlighted on all printed materials as doing so!

Exhibitor Information/Application

Saturday, April 21, 2018 • 10:00am – 4:00pm

Exhibitors are generally non-profit or government organizations who are not selling anything, unless as a small fundraiser. Businesses who are giving out information about something they sell or are selling something are generally vendors. Please contact Clean Fairfax directly if you are unsure!

Important Notes:

  • Exhibitors with an environmental mission will have preference and we reserve the right to deny organizations that do not have or encourage an environmental message.
  • This is an Earth Day event and we require consideration for the environment when planning your  give-aways, i.e. they should be environmentally sensitive and not something that is immediately disposable.
  • Vendors/Exhibitors cannot use polystyrene (Styrofoam) containers, plastic bags, and must encourage recycling. Single use plastic water bottles are also not allowed for sale OR giveaway! 
  • Tented locations are not guaranteed unless you bring your own. Tents may be rented through Clean Fairfax at an additional cost if you don’t have your own–cost (additional $125) will be added to your invoice. A limited number of tented spaces are available on a first come, first served basis only!

Exhibitor Fee Structure:

December 1-January 15, 2017 $50 plus tent rental fee of $125 if applicable

January 16-February 28, 2018–$100 plus tent rental fee of $125 if applicable

If you have your own pop up tent, please indicate size. Each exhibitor will be provided with one 6′ table and two folding chairs. Please bring your own table covering.

Exhibitor Location: Space will be assigned, special requests will be considered on a first come, first served basis. Covered and uncovered spaces are located throughout the location. Please do not count on electricity.

Set up will be Friday April 20th from 1-4pm and Saturday April 21st from 7-9 am.
